For clinics and receptionists

How do patients book appointments through PulseDesk?
Patients simply send a WhatsApp message to your clinic's WhatsApp number. The PulseDesk bot guides them through selecting a doctor, choosing an available slot, and confirming their booking — all without any app download. The booking immediately appears on your receptionist dashboard.
Do patients need to download an app?
No. Patients interact entirely through WhatsApp, which they already have. There is no app to download, no website to visit, and no account to create. The entire booking experience happens inside WhatsApp.
How long does clinic onboarding take?
The onboarding process takes approximately 10–15 minutes. Our team sets up your clinic profile, adds your doctors and schedules, and connects your WhatsApp number. Receptionists need no training — the dashboard is designed to be self-explanatory.
What happens when a doctor cancels OPD?
If a doctor texts your clinic's WhatsApp number and selects "Cancel OPD", PulseDesk automatically cancels all booked appointments for that day and sends a WhatsApp notification to each affected patient. No manual intervention is needed from the receptionist.
Can I add walk-in patients to the queue?
Yes. Receptionists can add walk-in patients directly from the dashboard using the "Add walk-in" button. Enter the patient's name and phone number and they are immediately added to the live queue. They also receive a WhatsApp confirmation if a number is provided.
How do patients get notified when their turn is coming?
PulseDesk automatically sends WhatsApp notifications to patients as the queue moves. When someone is #1 in queue, they get a "You're next, please come to reception" message. When #2, they get an "Almost your turn" message. These notifications fire automatically when the receptionist advances the queue — no manual action needed.
Does PulseDesk work if the internet goes down?
The dashboard requires an internet connection to function. If your internet is down, you can continue managing the queue manually and sync when connectivity is restored. WhatsApp messages will not be sent or received during an outage.
Can multiple receptionists use the same dashboard simultaneously?
Yes. Multiple staff members can be logged in simultaneously. However, real-time sync between sessions (Supabase Realtime) is on our roadmap and not yet available — each session will show the latest data on page load or refresh.
Is patient data safe?
Yes. All patient data is encrypted at rest and in transit. Each clinic's data is isolated at the database level using Row-Level Security — no clinic can access another clinic's patient records. See our Security page for full details.
What is the cost of PulseDesk?
PulseDesk offers a 14-day free trial with full access to all features. After the trial, subscription pricing is available on our pricing page. Contact support@pulsedesk.in for current pricing.

For patients

How do I book an appointment?
Send a WhatsApp message to your clinic's WhatsApp number. The PulseDesk assistant will guide you through selecting a doctor and available time slot. The entire process takes under 2 minutes.
How do I cancel my appointment?
Send a WhatsApp message to the same clinic number and select "My appointment" from the menu, then choose "Cancel". You can also contact the clinic directly.
I don't want to receive WhatsApp messages anymore. How do I opt out?
Reply "STOP" to any message from the clinic's WhatsApp number. You will be removed from all automated notifications immediately. You can re-enable messages by texting "START".
How is my personal data used?
Your name and phone number are used solely to manage your appointment with the clinic. Your data is never shared with other clinics or used for advertising. Read our full Privacy Policy for details.
